Personal Assistant to CEO — Dubai, UAE

Oil and Gas Trading Company based in JLT are looking for the right candidate to join the team in Dubai as «Personal Assistant”to the CEO.

With offices in different locations geographically the ideal candidate will be able to work closely with the CEO and as part of a global team. Liaising frequently with the CEO on a day-to-day basis and taking responsibility for the office when he is traveling. Acting as an efficient gatekeeper and right-hand person to keep the business moving in an extremely reactive fast-paced environment.

The successful candidate will report to the CEO and work from the head office in Dubai.

Completed a broad variety of administrative tasks for the CEO:
— Support the CEO’s active calendar of appointments.
— Booking and arranging meetings, lunches and dinners.
— Organising agendas, presentations and meeting papers, including print production and timely distribution.
— Arranging flights, visas, travel plans, itineraries and agendas.
— Plan and coordinate to ensure the CEO’s schedule is efficient.
— Personal support, paying bills, client gifting,
— Managing junior staff (receptionist, drivers, office boy, cleaners)
— Assist other family members and company representatives as and when requested.
— Attend key stakeholder meetings in Dubai with the CEO and coordinate appropriate follow-up with contacts.
— Act as the representative for the CEO when he is not able to attend meetings locally if he is traveling.
— Providing a bridge for smooth communication between the CEO and the teams; demonstrating leadership to maintain credibility, trust and support with senior management staff.
— Managing, monitoring and reporting when necessary for projects, ensuring tasks are completed in a timely manner. Following up on tasks is crucial in this role.
— Ensure all inquiries directed to the PA via phone, email and letters are responded to in a timely manner/ redirected as appropriate.
— Manage the logistics, and undertake special projects or task work delegated by the CEO to ensure that projects are successfully completed by agreed deadlines.
— Working closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately.
— Nurture relationships with the managers to act as the go-to person and a gatekeeper to the CEO.
— Ad-hoc duties including reservations, research, and information compilation, managing routine inquiries.
— Drive day-to-day business-related action plans, initiatives and troubleshooting, ensuring actions are allocated to the relevant people and are acted upon.

The successful candidate will:
— Have at least a minimum of 5 years in a similar role
— Be polished and well-presented
— Be a team player, who is highly flexible and adaptable, and who works well in a high-pressured environment
— Experience in the oil and gas industry is an advantage
— Excellent communication skills written, verbal and analytical skills
— Strong attention to detail
— Flexible and calm
— Proven ability to prioritize and work to tight deadlines
— Assertive and confident
— Ability to self-educate
— Be discreet, honest, and trustworthy in equal measures

Package: Salary 18,000-20,000 AED, healthcare, visa, medical, 1 x flight ticket, 22 days annual leave, 9-5 working hours.
